Energy-Driven Task List

I'm a heavy Instagram guy. I love connecting with people from around the world who aren't in my "regular circle." I hear different perspectives on issues, see interesting places, and learn a lot. A number of these folks talk about energy...our personal energy.

Not Sure At First
I'll be honest. Some of this energy talk is a bit much for me to accept. I understand there is more to it than I have learned. But, come on...

And then...a close friend brought up the notion of energy, and how we directly apply it to our work. Yes, I've heard the old message that says "do the toughest work...or most boring work...or most interesting work...when you feel fresh" conversation....but which is it?

Back to my friend, who knows I live and die with Wunderlist. Next thing I knew the whole energy dialogue was framed up in terms of my task list. Whoa! 

Energy driven task list?

"Say that again,"I said. 




Opportunistic with my Energy
That exchange shifted how I think about my work, and my work day. Instead of labeling myself as a morning person, or a night owl, or whatever is in-between; I now view the times when I have a surge of energy as opportunities to destroy my task list.

When my energy is high, I capitalize on it and roar through my list. When my energy is low, I don't beat myself up for not feeling just right at my previously scheduled time to "have energy."

Genius? Maybe not.
Incredibly effective? Oh, yes.

How do you maximize your effectiveness each day, without the leadership guilt trip that "you should be doing so much more right now?" As my Instagram friends will tell you...tune into your own energy...and make it work for you.

No Bold Tactics

Let's be clear about something right away. Busy does not equal effective. Everyone is busy...or make themselves 'busy.' I see it all the time. Leaders who want to over share how hectic their days are...so full of things to do...and important executives to sit next to during meeting after meeting.

So...I hate to break it to those folks who thrive on this sort of thing...but you are failing.

Leadership is not only about going to meetings.
Leadership is not only about getting things done on your task list.
Leadership is not only talking about how busy you are.

Tactics and Excuses
Too many leaders get stuck in tactical decisions (even the most senior executives) and convince themselves that they are actually moving their organizations forward.

Not true.

Sure, it's easier to feel productive when you're doing things. I love the feeling of (digitally) checking items off my Wunderlist. But, those items are at the end of the process. At some point, I've had to invest significant time, energy and resources into effectively planning the bold moves my organization or my clients need to make.

There are no tactics in that work.


Strategy and Courage
The really difficult work of planning, executing, and completing strategic plans is, in my opinion, the most important work to be done. True plans...fresh ideas that become reality...launching new product lines...addressing major gaps in the organization and doing something about it...THAT is the work of real leaders.

The same old talk, talk, talk, without the plan is worthless. 

Why reference courage at this point? Easy...most leaders don't have the courage to build the plans necessary...to take the bold risks necessary...to literally move their organizations forward.

It is far easier to work to maintain the status quo and keep life in neutral, than it is to see what needs to be done and build and execute a plan that gets the organization to an entirely new place.

Look back over the last five years of your career. What risks have you taken? How have you literally changed your organization for the better? What tangible results can you share?

You have it in you to make it happen. You simply need to go for it.

Share Your Hacks!

We all have little tips and tricks that improve our productivity (or at least we think they do!) I'd love to learn some of your great ideas so I can get the most out of my day.

Here are a few of my simple hacks...please share yours!

New Contact
- immediately grab their photo from their Linkedin profile and add it to their contact information on your phone

To Do Items
- keep Wunderlist open at all times and add a new item in real time (no post-it notes, it's 2016!)


Status of Work
- add very brief notes to your task list app, dated each time, to keep track of how things are coming along

Meetings / Projects
- keep Evernote open at all times, and as issues/tasks come up, drop those items into the corresponding folder so you have your meeting notes ready to go and don't have to try and remember all of the issues at the last minute

Pictures
- take a screen shot of your boarding pass when you check in on your phone (in case you can't pull up your phone signal at the airport)
- always take a pic of where you parked at the airport (next to the sign that shows your level and location)

End of the Line

I talk about my work.
I plan my work.
I have an extensive and well organized Wunderlist.
I document every meeting in Evernote.
I need to get things done.


I have to cross the finish line with my projects. 

Talk Is Half the Battle
I'm not sure what happens to some leaders. It appears that two significant changes occur that block their ability to get to the endpoint.

1 - They get promoted and have a really cool job title.

2 - They focus entirely on maintaining their status instead of executing.

These changes are the death blow to many promising leaders. The energy, passion, risk-taking, and fearless approach displayed early in their careers suddenly slows to a crawl in an attempt to play it safe at every decision point.

They talk a good game. 
They use the right words (usually.) 
They get a few things done...

...eventually.

That my friends is about a pathetic description of a leader as I can muster.

Execution Is the Only True Thing
Let's be honest for a minute. Getting work done, particularly complex projects can be a real challenge.

So what?

But sometimes other people have a significant role to play in our projects.

So what?

I make mistakes...after all I'm human.

So what?

How About You

"If our corporate cultures are focused on getting work across the finish line instead of attending recurring meetings to talk about how busy we are, we might actually make a real difference in this world."

The Wonders At Your Feet

There are times when we believe we have built the perfect team. We convince ourselves that once those final few pieces fall into place all will be right in our world of work. We so desperately want things to be smooth and steady.

But that's not how work happens.

So Much To Do
For any of you that have glanced at my blog over the years you know I am a big fan of lists. When I say lists, I mean digital lists. (Post it notes and stacks of paper are so 1985.) The upside of using lists for everything in your life means you're super organized. The downside is that you can feel pretty overwhelmed at times.

Don't let the lists become your world. They are a tool...they are not the boss of you! They are a system to help you keep your priorities moving in the right direction. They are an asset, so stop thinking about them as a daily liability.

Teams Are Stronger Than You Think
When we realize some of our team members are struggling, and combine that with our never ending task list we can feel like throwing in the towel.

However, all is not lost. Nor is the road ahead as bumpy as we may think. Challenge yourself to do the following:

- identify and recognize the strong players on your team and what they've done to overcome adversity, rise up and meet challenges, and push themselves to a new level

- summarize the huge amount of work that you and your team have completed in the last six months

- push those who are lagging behind very, very hard

You Are Stronger Than You Think Too
Some days the cumulative weight of pressure at work can bring us to our knees. But today is not one of those days. 

Your focus, commitment to world-class work, and unwavering intolerance for anything less than exceptional performance  has helped you get this far, and it will power you ahead into the future.

Do not lose sight of the impact you have on the workplace, or on the lives of those around you.

How About You
Are you looking at the days ahead with a sense of loathing; or, have you decided to take a look around and appreciate the wonders that have been lurking just beneath the surface? Now is the time to keep pushing, and to keep making the difference you make every day.

Abeyance (Will Kill Your Career)

Work can feel like a mad scramble sometimes. The priority list...the projects...the endless stream of 'important' email...lots of meetings...

...and don't let me forget the tremendous weight of the pressure from our personal lives that can push us to the brink...

Hmm. One could easily get caught up in their own drama and fall hopelessly behind on every front. Don't tell anyone, but that happens to me once in a while.

Focus 
As it turns out, feeling sorry for yourself helps you complete exactly zero items  on your Wunderlist. Although I am a big fan of allowing stress and pressure to wash over you, through you...and then out of you, I'll admit that it's no fun when it's happening.

Once you've completed  your self-inflicted pity festival (they're usually much bigger than a pity 'party' in my world) it's go time. Time to bring things back into focus. 

Time to get a game plan based on tackling one issue at a time. Trying to catch up everything at once is not only foolish, it won't work, so don't waste your time.

Get back to work...get your life organized...take one positive step forward.

Execute
There is another important piece to the "get your ass back in gear" mentality. That is, you actually have to do something. First steps, baby steps, or one-step-at-a-time approaches are terrific to get you started. But they are a long way from executing effectively on the totality of your responsibilities.

When you start to feel good about yourself as you get things back on track, remember to use that positive energy and take a deep dive into a major priority. You'll feel good...you'll get your work done...and you will be back on top of your game.

How About You
It's not easy to go from feeling like a zero to a feeling like a hero. Wallowing in self-pity may be a convenient excuse, but it sure as heck doesn't get your work done. Now is the time to get yourself together.

Focus. Execute. Win.

Headbanger


As you look at your task list or calendar each day, what goes through your mind? What emotion hits first? Does your competitive side see a challenge; or, does your heart race as you realize it will be nearly impossible to accomplish all of those items in one day? 

DERAILERS

Lately I've been wondering how that first rush of emotion impacts our mindset at work. Is it possible that our style leaves us susceptible to a first impression that will be a derailer on our outlook for two, six, or even twelve hours?

If so, what strategies do you use to counter this load of negativity? Banging your head against the wall may be tempting at this point, but I recommend head-banging for something very different. 

FIND YOUR RHYTHM

I have three approaches for dealing with work, personal, and often times in-my-head stress that can derail me and put me into a bit of a tailspin. These won't work for everyone, but in my world they have made all the difference.

1. Reach out to my network

This may feel a bit awkward, particularly if you're not calling to "talk shop." We can all slip into the "work is stressful can you believe what she said in the office" discussion. I'm talking about opening up...being vulnerable...and letting your network actually offer some perspective.

It's powerful. It's important. It works for me.

2. Workout like a beast

Okay, I realize not everyone is into getting fit. That's okay...life is about choices. For me I need to workout to stay sane. I'm not embellishing here. Exercise has become such an important part of my mental health that I can not go more than a day without it.

3. Find the music that brings me peace of mind and play it every day 

I don't know too many folks who do not enjoy music. Check out the #HRMusicshare hashtag and you'll find all sorts of people sharing the music that is helping them get through the day. My personal tastes are at the fast and heavy end of the musical spectrum. So what?

It's powerful. It's important. It works for me.

I Don't Wanna Be Me



Have you ever taken a step back from your current role and compared it to what you thought you would be doing at this point? What were you expecting? Was it a certain title...or salary...or span of control? How close are you to achieving that vision?

For many...that vision is a cruel reminder of what their career is not. That can really hurt.

Wallow
When those feelings get churned up we often try to suppress them as quickly as possible. After all, we're professionals! Being under control is a hallmark of our leadership skill set. Except the suppression strategy is not real. Feeling disappointment...frustration...and even some bitterness is normal. Don't bury those feelings, and please don't disregard them in some sort of artificial cleansing exercise.

Wallow in the pain. Let it consume you. Allow your honest feelings to flow hard through your mind and body. Experience those raw emotions...and feel the pain.

And only then...begin to release them.

Allowing yourself to feel alive...even when it is painful...actually turns out to be quite empowering. As counter intuitive as that may sound, life has a way of using our frustrations and disappointment as fuel to bring the future into greater focus.

Get Moving
Once your self-inflicted pain session is complete it is time for action. Get yourself organized. Start a list of what you want...now. Don't sell yourself short as you document what it is you really want. Put it all down on paper (or Wunderlist if you've committed to a digital life like me.)

This list...regardless of how long...is your new beginning. You don't have to achieve anything on your list today...but you absolutely need to acknowledge that it exists. 

Your new plan has just been born. Give yourself credit for starting. Nothing keeps disappointment and bitterness going strong more than inaction.

So take action!

How About You
Titles..money...power...all may have a role to play in your plan. However, being someone other than you makes no sense, so stop the comparisons and focus on your list. Organize it...take small steps...and start being the real you. After all, it's a lot more satisfying to say "I Wanna Be Me!" Don't you think?

Under Siege



Have you ever felt like your workload is simply too much? Is your task list always current? Any deadlines approaching quickly? How about that Inbox...down to zero unread? 

Sometimes it feels...well...like we're surrounded. I don't like that feeling. Sometimes that feeling persists for days or weeks. I really don't like that at all.
 
Breathe
One way to deal with the self-induced stress that swirls inside our heads is to simply stop and breathe. I'm not talking about dropping into a downward dog pose, but literally to just stop what you're doing and allow your mind to take a break.

We all spend so much time moving as fast as possible, caught up in a corporate world of unattainable stretch goals, loaded schedules and unrealistic expectations that we never simply stop.

Stop. Take a slow deep breath and allow yourself a few moments. Trust me, the work will be there thirty seconds from now.

Plan
Now you need to take the next step and get back in control. It's time to begin a daily ritual of using your task app and get yourself on top of the chaos. Starting each day with a quick review and re-prioritization of what needs to be done is essential. 

The symbolism is powerful here. Each day starts with you deciding what is going to happen and why. Sure, issues will come up and you'll have to make adjustments (that's called life); but overall you'll be driving the process.

Do you allow yourself time each day to do your work? Or, do you allow your calendar to fill up with meetings? You're not a doormat, so stop acting like others can walk all over your day. 

Readjust your schedule, say no to some meetings, and send other team members in your place. Take action to preserve not only your sanity, but the quality of your work as well.
 
How About You
Open your mental gates and attack! Stop feeling like you've been holding on for months waiting for relief. It's time to take the offensive on the lists, and projects, and expectations laying siege to your state of mind.
